Terms of Service

Please read these Terms of Service (“Terms”) carefully before using HireBee (“the Service”), operated by HireBee Inc. (“we”, “us”, or “our”). By accessing or using the Service, you agree to be bound by these Terms.

1. Acceptance of Terms

By creating an account or using HireBee in any way, you confirm that you are at least 18 years old, have the legal authority to enter into this agreement, and accept these Terms in full. If you are using HireBee on behalf of a company or other legal entity, you represent that you have the authority to bind that entity.

2. Description of Service

HireBee is an asynchronous video interview platform that allows employers (“Employers”) to create job postings with video interview questions, invite candidates via unique links, and review recorded video responses. We provide:

  • Tools for creating and managing job postings and interview questions
  • Unique tokenised links for candidate interview sessions
  • A browser-based video recording experience for candidates
  • Secure, private storage of video recordings
  • A review pipeline for evaluating candidate responses

We reserve the right to modify or discontinue features of the Service at any time with reasonable notice.

3. Accounts & Registration

To use the employer features of HireBee, you must register for an account. You agree to:

  • Provide accurate, current, and complete information during registration
  • Keep your account credentials confidential and not share them with third parties
  • Notify us immediately at hello@hirebee.io of any unauthorised use of your account
  • Take responsibility for all activity that occurs under your account

We reserve the right to suspend or terminate accounts that provide false information or violate these Terms.

4. Subscription & Billing

HireBee offers a Free plan and a paid Pro plan at $49/month. Enterprise pricing is negotiated separately.

  • Free plan: Available at no cost with usage limits as described on our Pricing page.
  • Pro plan: Billed monthly via Stripe. Your subscription renews automatically on the same date each month.
  • Cancellation: You may cancel at any time from your account settings. Access continues until the end of the current billing period; no refunds are issued for partial months.
  • Failed payments: If a payment fails, we will retry and notify you. After three failed attempts your account may be downgraded to the Free plan.
  • Price changes: We will give at least 30 days' notice before changing subscription prices.

5. Acceptable Use

You agree not to use HireBee to:

  • Discriminate against candidates on the basis of race, gender, age, religion, disability, sexual orientation, or any other protected characteristic
  • Ask candidates questions that are illegal under applicable employment law
  • Collect video responses for any purpose other than evaluating candidates for a genuine employment opportunity
  • Share, sell, or transfer candidate video data to unauthorised third parties
  • Attempt to reverse-engineer, scrape, or abuse the platform
  • Upload or transmit malware, viruses, or other harmful code
  • Impersonate another person or organisation

Violation of this section may result in immediate account termination.

6. Candidate Data

Candidates access the Service through unique links provided by Employers and do not create accounts. As an Employer, you are responsible for:

  • Informing candidates that their responses will be recorded and reviewed
  • Complying with applicable data protection laws (including GDPR where applicable) with respect to candidate personal data
  • Deleting candidate data when it is no longer needed for its stated purpose
  • Not retaining video recordings beyond the storage period included in your plan

HireBee processes candidate data on behalf of Employers and acts as a data processor under GDPR. Our processing activities are described in our Privacy Policy.

7. Intellectual Property

All software, design, trademarks, and content comprising the HireBee platform are owned by HireBee Inc. or its licensors. You are granted a limited, non-exclusive, non-transferable licence to use the Service for its intended purpose.

You retain full ownership of all content you upload to HireBee, including job descriptions, interview questions, and candidate video recordings. By uploading content, you grant us a limited licence to store, process, and serve that content solely for the purpose of providing the Service.

8. Video Content

Video recordings are stored privately in Supabase Storage and are accessible only via time-limited signed URLs. We do not:

  • Make video recordings publicly accessible
  • Use candidate video recordings to train AI models
  • Share recordings with third parties without Employer authorisation

Videos are automatically deleted after the retention period associated with your plan (7 days on Free, 1 year on Pro, custom on Enterprise). Deleted videos cannot be recovered.

9. Limitation of Liability

To the maximum extent permitted by law:

  • HireBee is provided “as is” without warranties of any kind, express or implied
  • We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service
  • Our total liability to you for any claims arising under these Terms shall not exceed the amount you paid us in the 12 months preceding the claim

Some jurisdictions do not allow exclusion of certain warranties or limitation of liability, so some of the above may not apply to you.

10. Termination

Either party may terminate this agreement at any time. You may close your account from your account settings. We may suspend or terminate your account immediately if:

  • You materially breach these Terms
  • We are required to do so by law
  • Continued access would cause harm to other users or to us

On termination, your right to use the Service ceases immediately. We will delete your account data within 30 days, except where retention is required by law.

11. Changes to Terms

We may update these Terms from time to time. When we make material changes, we will notify you by email and update the “Last updated” date at the top of this page. Continued use of the Service after changes take effect constitutes acceptance of the revised Terms.

12. Governing Law

These Terms are governed by the laws of the State of California, United States, without regard to its conflict of law provisions. Any disputes arising under these Terms shall be resolved exclusively in the state or federal courts located in San Francisco County, California.
